As Head of People & Culture, one of my favourite times of the year is seeing our teams come together for our annual company conference. This year was truly exceptional – full of energy and collaboration as we reviewed our mission to enable operators at their best!

iMedX Conference Workshops

We explored three key areas: AI development over the past year and how we’re integrating it into our products and services, our Business Excellence Model to streamline how our customers experience iMedX, and Bringing Our Values to Life.

It was inspiring to see the strides we have made in AI, the innovative solutions developed, and the way teams are applying technology to deliver better outcomes for healthcare providers. Our products and service free up time and money to enable end users, clinicians and administrators to focus on patient care. The Business Excellence Model session sparked some fantastic discussions and shared learnings across all teams around how standardising our approach can elevate our brand.

The “Bringing Our Values to Life” session was a personal highlight. One of the activities involved singing a song that represented our company. This was a challenge that MANY took on! … and wow, it was incredible to see our team members step up, showcase their voices, and feel confident performing in front of their peers! Moments like this remind me of the culture we are building: trusting, supportive, and celebrating individuality.

The conference was capped off by our end of year celebrations at the Fleet Rooftop Bar, which were a fantastic way to connect and celebrate achievements. During the celebrations, we highlighted the winners of our team spirit competition, recognising our brand ambassadors who have been proudly showcasing iMedX merchandise in various locations around the globe — a fun way to celebrate our culture and sense of community.

Tracy Briggs, Workforce and Services Manager:  Managing a workforce that delivers quality clinical coding, auditing, and education services is both a responsibility and a privilege. Each day, I have the opportunity to lead a team of highly capable professionals whose technical expertise, attention to detail, and commitment to best practice consistently meet the highest standards. Our team plays a critical role in supporting accurate health data, compliance, and informed decision-making across the healthcare system. Whether through quality coding, auditing, or targeted education, their work directly contributes to improving clinical and operational outcomes for our clients.

I am passionate about using my skills to help solve coding service issues, whether that’s reducing backlogs, improving data quality, or supporting hospitals to run more efficiently

Donna Holley, Clinical Coding Team Lead:  I love clinical coding because it’s like solving a puzzle every day—piecing together the clinical story and translating it into accurate codes. It’s exciting to keep learning and know that my work contributes to meaningful healthcare data and patient care. Just as much as I value coding itself, I love making an impact by supporting our team, sharing knowledge, and helping them achieve their professional goals. Seeing others grow and succeed makes the work even more rewarding.

Rochelle Beer, Clinical Coder:  As a clinical coder I have a strong commitment to excellence, a meticulous eye for detail, a love for problem solving, and a detective of medical data.  Knowing my work makes a real difference, behind every code is a patient receiving the right care, a behind the scenes superhero!

Sarah Armstrong, Clinical Coder:  I enjoy the mix of problem solving and trust. Coding pushes you to think critically and make sure all the details lines up. Doctor’s notes can be messy, and there’s often a lot to piece together, but I like the challenge of sorting it out so the final codes make sense. Clients rely on accurate codes for funding, planning, quality reporting and ultimately good patient care. Its satisfying to hand over something that makes a real difference.

Dianne Green, Auditor/Education Lead:  When people ask me what I do for a living, I often say, “I work in hospital finance—I help ensure the hospital receives the correct funding for the patient.” But the truth is, it’s so much more than that.

As a clinical coder, my role is to decipher clinical documentation—sometimes incomplete, sometimes barely legible—and translate it into a coded story that reflects a patient’s hospital journey. Each code we assign is a thread in a much larger narrative. It’s not just about diagnoses and procedures; it’s about capturing the essence of the care provided.

We tell the story of a patient’s hospital visit in codes. And through those codes, we give voice to the work of every clinician involved in that patient’s care—from the nurse who administered medication to the surgeon who performed a life-saving procedure. The data we produce is not only used for funding, but also for research, epidemiological studies, and future health service planning.

That’s what makes this work so meaningful. We, as clinical coders, auditors, and educators, play a vital role in ensuring our health services are financially sustainable. But more importantly, we help ensure that the right care continues to be delivered at the right time and in the right place.

I love that we get to be part of that process. Behind every code is a patient, a story, and a team of people who cared. And behind every story is the data that helps shape the future of healthcare.

Why HIM Week Matters

HIM Week provides an opportunity to shine a light on a profession that is often unseen but always essential. It is a chance to:

  • Recognise the expertise of HIM professionals in managing complex health data.
  • Celebrate their contribution to advancing patient care and outcomes.
  • Highlight the importance of coding accuracy and documentation quality.

What a week! What a team! What a future!

Coming out of Digital Health Festival 2025, I’m walking away with an overwhelming sense of pride, gratitude, and excitement for what’s ahead.

This year we didn’t just show up – we set a new standard for what’s possible in health information management.

Our vision as a team is to enhance healthcare through human-first, data-driven technology, so, we set out to showcase our latest product innovations and the expertise behind them while listening firsthand to our customers. Their insights drive us to refine and advance solutions that truly solve real-world challenges.

But beyond the tech, what truly made last week so successful was our team.

We brought a strong contingent to this conference, reflecting our deep commitment to the team’s professional development and hands-on collaboration with both current and prospective customers. Across both days, there was undeniable buzz as hundreds stopped by to connect and experience our latest technology in action.

This year, we showcased DeliverHealth’s new Scribe AI tools – demonstrating how AI can produce high-quality documentation in a fraction of the time – as well as our proprietary HIM Companion Suite, a powerful set of AI-enabled modules designed to support coders in their daily workflows. Both technologies bring together the importance of accurate, specific documentation with accurate, quality coding to enhance hospital outcomes.

While the industry’s enthusiastic response was incredible, the real-time feedback from our customers was truly invaluable. A huge thank you to our team and our customers – you’re shaping the future with us!

And we had fun. So much fun. Thank you to everyone who joined us for our “Space Race: Is Auto-Coding the Next Moonshot?” session. The conversation around AI and human-centric design is only just beginning, and we can’t wait to build on it over the next 12 months.

Reflections and Celebrations: iMedX Conference and End of Year Celebrations!

As the year draws to a close, we had the incredible opportunity to come together as a team for our company conference and end of year celebrations at the Vibe Hotel in Melbourne. This annual gathering is more than a chance to reflect on the business; it’s about celebrating our people and the journey we’ve taken together.

For a company with a remote-first, hybrid workforce, these moments are precious. Despite the challenges of working from different locations, this workshop allowed us to come together, not just to talk about work but to focus on the broader vision: our business, our people, and how we’re growing together.

Validating a Vision with through a human-centred approach 

As one of Australia’s leading Medical Transcription Service Organisations (MTSO), iMedX developed the InstaNote prototype testing program to ensure it effectively evaluate the clinical documentation processes. This approach highlights iMedX’s dedication to customer-focused innovation, leveraging deep industry expertise to exceed expectations. The program engaged clinicians and health information managers from various health services across Australia and New Zealand, who took on the role of innovators and provided valuable insights as the early users of the technology. 

The success of the program is rooted in a human-centered approach that combines in-depth customer insight, holistic stakeholder impact, and collaborative development. Leveraging extensive experience in the healthcare sector, iMedX designed InstaNote to address the specific challenges faced by clinicians and providers while also considering its effects on administrative, IT, and finance teams to ensure smoother implementation. By involving key stakeholders from the outset and creating continuous feedback loops, iMedX refined InstaNote in real time to better align with evolving customer needs. 

Customer experiences with InstaNote 

The prototype testing program yielded significant insights and benefits, creating value for our customers: 

  1. Instant Documentation at the Point of Care: Clinicians have praised InstaNote for its ability to generate accurate drafts instantly while patient information is still fresh, eliminating the need to revisit records later. This real-time documentation enhances trust in the accuracy and completeness of medical records and ensures that patient care is continuous and uninterrupted. Here’s how InstaNote created value for clinicians: 
  • The best thing is receiving the letter instantly and checking it while I still have the chart, instead of days later.  
  • I am much quicker with letter which is great and I have no doubt clinical information is better because of this!  
  1. Cost Efficiency: Hospitals have seen up to a 50% reduction in the cost of generating letters compared to traditional transcription methods. This cost-effectiveness is particularly appealing in an industry where financial efficiency is essential. 
  1. Accelerated Turnaround Times: With InstaNote, document creation is enabled in seconds and letters are ready for delivery within a day, a significant improvement over the traditional 3 to 5-day turnaround time. This speed is especially beneficial for patients with urgent clinical needs, ensuring they receive timely care. Here’s what our clinicians said: 
  • Faster turnaround (great for urgent letters where documentation is required) 
  • …, the turnaround for releasing the letter from the system from dictation seems to be so much faster, and I’d estimate it is under a day in most situations (or has the potential to be this quick). 
  • The letters are being turned around much faster, from dictation to release. This is beneficial for the patient and recipient  
  1. Empowered through Choice and User-Friendly Design: Hosted on the trusted eSone platform, InstaNote is an addition to the legacy clinical documentation channels and methods. The intuitive user experience of InstaNote was a standout feature, with the majority of users finding it easy to integrate into their existing workflows. The ease of use was a key factor in the effective uptake of technology among clinicians.

  • Enhanced Product Development: The feedback received from customers throughout the testing program has been valuable in guiding the ongoing refinement of InstaNote. By understanding the specific gains and pain points experienced by users, iMedX has been making targeted improvements that enhance the overall value of the product.

Its effectiveness in urgent documentation scenarios suggests potential for broader adoption across different healthcare contexts, opening new avenues for growth and innovation.

Case Study: Specialist letter integration with My Health Record

Context & background

The Australian Digital Health Agency (ADHA), responsible for the roll out of My Health Record – a secure, online summary of an individuals key healthcare information, accessible by the individual and healthcare providers whenever they need it – have partnered with the Victorian Department of Health (DoH) to work with hospitals in Victoria to integrate specialist letters with My Health Record, expanding the key healthcare information available in My Health Record.

As this joint initiative was mobilised, partner hospitals of iMedX enquired whether the iMedX solution provided the possibility of integration of their specialist letters with My Health Record.

iMedX is the leading clinical documentation provider in Victoria, through our clinical documentation platform, eScription One (eSOne), we provide solutions that support the documentation and delivery of outpatient specialist letters. iMedX was best placed to support this work with the Victorian hospitals.

Mercy Hospital for Women and Peninsula Health joined the project as pilot sites to co-design, test and refine the solution in a live environment. This piece of work required excellent collaboration between all stakeholders, working with the requirements of the hospitals and My Health Record and, the availability of existing technology and workflow structures.

Objectives

Delivery of this initiative brought together key stakeholders – iMedX and the two pilot sites. The objectives of the project group were identified as:

  • Successful integration of approved specialists’ letters with My Health Record.
  • Implementing My Health Record integration into the current iMedX-enabled clinical documentation workflow within the hospitals, ensuring no disruptions to the workflow.
  • Alignment to the interoperability roadmap as defined in the document published by ADHA, Connecting Australian Healthcare: National Healthcare Interoperability Plan – improving interoperability between clinical documentation capture and availability of the document within the My Health Record.
  • ADHA define a requirement that all documentation in My Health Record must be uploaded from a healthcare provider. Therefore, iMedX set out to ensure that documents are integrated directly from the hospital without extra burden on hospital resources.

Approach

The project ran over a 9-month period, with official go-live achieved at both pilot sites by 22 November 2023.

The approach taken aligned closely with the implementation approach iMedX follows in technical integrations of this nature. This included:

  1. Project team mobilisation including onboarding of the two pilot sites, Mercy Hospital for Women and Peninsula Health.
  2. A technical discovery period was undertaken including a review of the technical specifications. As iMedX has a long-standing partnership with both pilot sites, our understanding of the technical landscape at both sites was drawn upon at this stage.
  3. From the findings of technical discovery, a prototype was built that had the capability to deliver approved specialist letters to My Health Record from the hospital environment.
  4. Rigorous testing, redefining, and recreating the solution was conducted over a 3-month period.
  5. Sign off from both hospitals on User Acceptance Testing was achieved to enable go-live planning.
  6. iMedX worked with each site to determine their preferred approach to go-live.

Outcomes

The overarching outcome achieved through this project is the implementation of a solution that is improving patient care through greater interoperability.

The project achieved successful go live at two pilot sites:

  • The Mercy Hospital for Women went live with full deployment, meaning all approved specialist letters are made available in My Health Record.
  • Peninsula health went live with a phased deployment, meaning the integration will be activated one department at a time, over time.

Successful go-live in this project means, at point of completion, the specialist letter can be provided to the hospital’s medical record, as well as the approved document can be sent to My Health Record, without disrupting current clinical documentation processes.

The outcomes of the project have provided validation of the limited disruption to current clinical documentation processes whilst improving interoperability of clinical documentation capture to My Health Record. This will support the continuous roll out across hospitals in Victoria and Australia.
